Order pad to fill in online
How to fill in the order pad
- Fill in the date and the order number. The numbering is suggested for you and saved on this device only, and you can edit the number at any time.
- Write down the customer details: name, address, email and phone, so you know who the order is for and where it goes.
- Enter the order items in the table, with quantity and price. Each line's amount and the total are calculated for you, with discount, tax and shipping.
- Mark the delivery and payment method, write the notes and click Generate order form. Then print on A4 or download the filled .xlsx file.
TOTAL = subtotal − discount + tax + shipping. The subtotal adds up each line, which is quantity × price. For example, 2 t-shirts at $12.90 and 1 mug at $5.90 give a subtotal of $31.70; with a $2.70 discount, $1.90 tax and $8.00 shipping, the TOTAL is 31.70 − 2.70 + 1.90 + 8.00 = $39.90.
What is an order pad
An order pad is the form where you write down what the customer bought: customer details, items with quantity and price, total, delivery and payment. It's the record of the order at the counter, on the phone and at the door, before the order becomes a sale in the system.
Important: an order pad is not an invoice. It records the order and helps you run the operation, but it doesn't replace an invoice or any document your business is legally required to issue.
On this page, the pad is ready to fill in: you print the filled copy on an A4 sheet or download the .xlsx file with everything you entered.
How the tool works
The form on the page has the fields of a traditional order pad: date, order number, customer, items, totals, delivery, payment and notes. Everything is calculated live: each line shows its amount and the TOTAL comes out with subtotal, discount, tax and shipping.
Order numbering is suggested automatically and stored only on your device, one number per order, so you never repeat one. On your next visit, the sequence picks up where it left off.
After you click Generate order form, you print a copy on A4 to track the order on paper, or download the filled .xlsx file to keep and resend by email or WhatsApp.
When to use an order pad
- Use it at the store counter, to note pick-up orders with the customer's name and the agreed time.
- Use it on deliveries, so the customer can check the items and the total at the door before paying.
- Use it on the phone and on WhatsApp, to write the order down while the customer talks and pass it to the kitchen, the stock or the driver.
- Use it as the sale's draft, to check items and total before logging the order in the system.
Frequently asked questions about order pads
It's the form that records a customer's order: customer details, items with quantity and price, total, delivery and payment method. From it, the seller knows what to prepare, what to deliver and how much to charge. On this page, you fill in the pad online and print on A4 or download it as .xlsx.
No. An order pad is not an invoice or any other tax document: it's an internal record of your operation. If your business must issue invoices, issue them through the proper system and keep the pad as a helper to organize orders, deliveries and payments.
Fill in the form on the page and click Generate order form. Then click Print order form (A4): a ready copy comes out on an A4 sheet, with the items, the totals and the delivery and payment marks. If your browser blocks the print window, allow pop-ups for this site and try again.
Yes. The tool suggests the next number on its own and stores the sequence only on the device you're using, so every order goes out numbered without repeats. You can edit the number at any time if your store already runs its own sequence, such as pads bought from a printer.
